What It Is

Picture the most organized coworker you've ever had. Now imagine that a coworker also refuses to open your Google Drive, your inbox, or your calendar unless you physically copy-paste the contents into a chat box first. That was ChatGPT for two straight years. You'd type out entire paragraphs from a document it could've just... read.

Connectors fix that. They're secure, permission-based links between ChatGPT and the apps you already live in — Gmail, Google Drive, Calendar, Notion, Slack, and dozens more. Once you connect one, ChatGPT can search it, read from it, and reference it while you're chatting, instead of you playing a copy-paste relay race between five browser tabs.

Quick naming note before you Google yourself in circles: OpenAI quietly renamed "connectors" to "Apps" in December 2025. Nothing changed under the hood — same feature, same connections, new label. So if you see "Apps" in your settings and "Connectors" in every blog post (including this one), that's why. We're using both because, honestly, everyone still says "connectors" out loud.

  1. Read across your real work apps — Gmail, Google Drive, Calendar, Notion, Slack, Dropbox, Box, SharePoint, Linear, and a long tail of others, all searchable and referenceable inside a normal chat, without re-uploading a single file.

  2. Assisted send, not automated send — ChatGPT can draft and send an email through Gmail or Outlook, but only one per prompt, and only after you approve it. No batch blasts, no surprises.

  3. Calendar that can actually write — On workspace plans, once an admin flips the switch, ChatGPT can book the meeting, not just check if you're free for it. Every action still asks for confirmation first.

  4. Scheduled tasks that reach your apps — Since the mid-2026 rebuild, you can tell ChatGPT to check something in a connected app on a timer — roughly once an hour at the fastest — and it'll actually go look, instead of you remembering to ask.

⚡ How to Use It

  • Go to Settings → Connectors (shows as "Apps" on some accounts) and connect the 2-3 apps you actually use daily.

  • Ask ChatGPT to check a specific app before asking it to do something — "pull up the contract with [client] in Drive" beats "what do you know about this client."

  • On a workspace plan? Ask your admin to enable write actions for Gmail and Calendar — they're off by default.

  • Review every "send" or "create event" as a draft first — nothing goes out without your approval.

  • Skip connectors for exact numbers or spreadsheet formulas — they're built for context, not pinpoint data. Open the file directly for that.

Experiment 1: Prepping an investor update

We connected Gmail and asked ChatGPT to check the last update thread with a specific investor before drafting the next one.

It pulled up what was actually said last time, not a guess, and the new draft stayed consistent with the numbers and promises already on record. No more "wait, did I already tell them that" moment three updates in.

It showed us the draft first, we tweaked one line, and only then did it go out.

How to set it up:

  • Settings > Connectors, connect Gmail

  • Ask ChatGPT to check the last thread with a specific person before drafting

  • Review the draft it writes

  • Approve before it actually sends

Experiment 2: Sending follow-ups without writing them from scratch

We asked ChatGPT to draft a follow-up to a client thread that had gone quiet, referencing what was actually discussed last time.

It opened a clean writing block right there in the chat, pulled the context from the real thread instead of a generic template, and had it ready in under a minute. We reviewed, sent, moved on.

Worth flagging: it's one email per prompt, and it needs your approval every time. Not a batch-send machine, more like a very fast, very literate assistant sitting next to your inbox.

How to set it up:

  • Settings > Connectors, connect Gmail

  • Ask ChatGPT to draft a follow-up referencing the last real conversation

  • Review the writing block it opens

  • Hit approve to send, one at a time

Experiment 3: Finding the right document without opening a single tab

We connected Google Drive and asked ChatGPT to find what a specific contract said about revision rounds, instead of digging through folders ourselves.

It found the clause and quoted the date it was agreed, sourced from the actual document. What used to be a ten-minute folder hunt turned into a twenty-second answer.

Worth flagging: this is built for high-level context, not pinpoint precision. For exact numbers out of a spreadsheet, still open the file directly.

How to set it up:

  • Settings > Connectors, connect Google Drive

  • Ask ChatGPT to check a specific document for a specific detail

  • Treat the answer as a strong lead, not a substitute for the original when precision matters

Experiment 4: Working around a calendar it can actually see

We connected Google Calendar and asked ChatGPT to check our availability before proposing a meeting time to a colleague.

It read the calendar correctly and worked around the two blocks we already had that day, so we didn't have to cross-check manually before replying.

Worth flagging: whether ChatGPT can actually create the event, not just read it, depends on your plan. On individual Plus or Pro accounts it's read-only. On workspace plans, an admin has to switch write access on first — until then, it behaves exactly like the individual version, checking but not booking.
